Department terms of reference:
1.Coordinate work between the senior management sectors in the Ministry.
2.Preparation for the Higher Planning Committee meetings (meetings of the Undersecretary of the Ministry with the assistant undersecretaries) in addition to other committees mandated to it.
3.Preparation of the minutes mandated to the section, typing and keeping them in special files and recording them in the registers prepared for this purpose, and notify the concerned authorities with the enforcement of the decrees and recommendations issued by the committees and following them up.
4.Receiving complaints of the public and personnel in the Ministry and coordinate with the concerned departments to find solutions for them and respond to them.
The Department manager shall undertake the responsibility of its operations under the supervision of the Undersecretary of the Ministry, and shall have the following terms of reference:
1.Supervise all the Department personnel.
2.Supervise the execution of the general policy of the Department and follow up the personnel’s enforcement of the regulations and circulars regulating the progress of its work.
3.Issue the required administrative circulars for the proper progress of work in the Department, pursuant to the direction of the Undersecretary.
4.Any other works assigned to him.
The Department organizational structure consists of two sections, which shall be staffed with a sufficient number of personnel, in the following manner:
oCoordination and Follow Up Section, specialized
1.Coordination of work between the senior management sectors in the Ministry.
2.Coordination with the Ministry departments in connection with the enforcement of the ministerial and administrative decrees and circulars, follow up of the execution and present the relevant proposals and recommendations to the Undersecretary of the Ministry.
3.Preparation for the Higher Planning Committee meetings and meetings of the Undersecretary of the Ministry with the assistant undersecretaries, in addition to the other committees assigned to the Section.
4.Prepare the minutes assigned to the Section, typing and filing them in special files, record them in the registers prepared for this purpose and notify the concerned authorities with the enforcement of the decrees and recommendations issued by the committees, in addition to following them up.
5.Coordination with the secretariat section in connection with a number of correspondences annotated with follow up by the senior management.
6.Receiving the complains from the public and personnel in the Ministry and coordination with the concerned departments for finding solutions and replying to them.
7.Other works assigned to it.
oSecretariat Section, specialized with the following;
1.Issue the correspondences and letters concerned with the committees, annotated with confidentiality, to the receivers whether inside or outside the Ministry, directly after registering them in a special register and keeping a copy of such correspondences.
2.Receive, organize and present all the external and internal correspondences of the office department of the Undersecretary of the Ministry, whether received from the Ministry General Registration Section or the various departments addressed to the Undersecretary of the Ministry.
3.Organize the files of the Department personnel and receive the applications concerned with their employment affairs.
4.Prepare the periodical leave plan of the Department personnel and organize the same.
5.Forward the letters to the Coordination and Follow Up Section for follow up.
6.Coordination with the Administrative, Training and Planning Development Department in connection with the training courses of the personnel for the candidate employees selected by the Department.
7.Forward all the external and internal correspondences and letters to the Undersecretary of the Ministry through the General Registration Section in the Ministry, after registering them in a special register and keeping a copy thereof.
8.Undertake the typing, photocopying, binding and fax works of the office department of the Undersecretary of the Ministry.
9.Prepare the dispensing applications of inventory materials required by the Department and coordinate with the concerned authorities in this respect.
10.Receive the custody, supervise and distribute the same to the personnel, as needed, and keep the relevant records and cards
11.Other works assigned to it.
